This module steps back from individual modules and features to the architecture-level view: how a large enterprise structures a single Workday tenant (or, occasionally, more than one) to serve multiple business units, legal entities, and regions coherently.

One tenant, many business units: the case for consolidation

Workday's data model — supervisory organizations, companies, cost centers (Level 1 Module 3, Level 3 Module 3) — is designed to represent an entire enterprise's complexity inside a single tenant, rather than requiring one tenant per business unit or country. The default architectural recommendation for most customers is one production tenant, because:

When multiple tenants are still used

Multi-tenant architectures do occur — most commonly after a merger or acquisition where two companies each ran their own Workday tenant and haven't yet consolidated, or for genuinely separate legal/regulatory environments a business deliberately wants isolated. Multi-tenant setups trade consolidated reporting and shared configuration for stronger isolation — a decision made deliberately and rarely reversed casually, given the cost of later merging tenants.

Structuring organizational hierarchy at enterprise scale

A large enterprise's supervisory org hierarchy (Level 1 Module 3, Level 2 Module 2) has to represent real structural variety without becoming unmanageable:

Configuration governance at scale

With many business units sharing one tenant, uncoordinated configuration changes are the primary architectural risk — one team's BP condition rule change (Level 2 Module 1) can have unintended effects on another business unit's transactions if scoping isn't precise. Enterprise governance typically layers:

  • A configuration review board approving cross-cutting changes (security policies, shared calculated fields) before Sandbox-to- Production migration (Level 3 Module 9).
  • Change scoping discipline — condition rules and eligibility rules written to be as narrowly targeted as the business requirement actually needs, rather than broad rules that happen to produce the right result for the one team that requested them.

Worked example: Meridian's post-acquisition consolidation

Meridian Outfitters acquires a smaller regional retailer, "Cascade Supply Co.," which runs its own separate Workday tenant. Meridian's enterprise architecture team plans the consolidation:

  1. Assessment: inventory Cascade's org hierarchy, compensation grades, and custom BPs/security groups for overlap and conflict with Meridian's existing tenant structure.
  2. Org hierarchy mapping: Cascade's stores become a new branch under Meridian's existing regional hierarchy (Level 2 Module 2's reorg mechanism, at enterprise scale) rather than a parallel, disconnected structure.
  3. Compensation grade reconciliation: Cascade's grade ladder is mapped onto Meridian's existing grades (Level 1 Module 6) where equivalent, with net-new grades created only where genuinely no overlap exists.
  4. Security group extension: existing role-based groups (Level 2 Module 7) are extended to cover the newly added orgs, rather than duplicating a parallel "Cascade HR Partner" group — Cascade workers' HR Partners simply become new holders of the existing HR Partner role, inheriting the existing role's grants automatically.
  5. Data migration: Cascade's worker and transaction history is loaded into the consolidated tenant via EIB/Studio (Level 3 Module 1), preserving effective-dated history rather than starting Cascade workers' Workday history at the migration date.

How It Actually Works

Enterprise architecture decisions look like abstract structural choices, but they resolve to the same concrete mechanisms covered throughout this path — organization hierarchy relationships, role-based security resolution, and effective-dated records — simply applied at a larger scale and with more deliberate up-front design.

Consolidating Cascade into Meridian's existing role-based security groups works because role-based membership is a live query against organizational role assignments, not a static list scoped to Meridian's original orgs. Extending "HR Partner" security to Cascade's newly added orgs required no new group definition — the moment a Cascade HR Partner role assignment exists in the consolidated tenant, the existing "HR Partner" role-based group's live-query membership resolution (Level 1 Module 8) picks it up automatically, and that person's HR Partner domain grants apply to their newly-added scope the same way they'd apply to any Meridian-original org. This is the direct, large-scale payoff of the design decision to define security groups by role rather than by named individual or hardcoded org list.

Migrating Cascade's history while preserving effective dates relies on the same additive, non-destructive data model (Level 1 Module 5) that makes any historical record trustworthy after a structural change. The migration doesn't need special handling to make historical Cascade reports "still work" post-consolidation — because every staffing, organization, and compensation record in Workday's model is inherently effective-dated and additive, loading Cascade's historical records with their original effective dates into the consolidated tenant produces correct "as of" reporting for any past date, exactly as Level 1 Module 5 described for a single tenant's own staffing history.

A single-tenant architecture's main cost — the need for tighter configuration governance — exists precisely because shared configuration objects (BP definitions, calculated fields, security groups) apply tenant-wide by default, and narrowing their effect requires deliberate condition-rule or scope design, not tenant isolation. This is the direct tradeoff against multi-tenant isolation: a single tenant gets the benefits of shared configuration and unified reporting because the same BP definition or security group applies everywhere, which means an imprecisely scoped condition rule change (Level 2 Module 1) can affect every business unit at once — the architectural benefit and the governance risk are the same underlying mechanism, viewed from opposite sides.
